In this guide you will learn:

  • How to add new admin users to LMN Time
  • How to add new foreman users to LMN Time
  • How to add regular employees to LMN Time
  • How to add existing estimating users to LMN Time

 

Staff can be 1 of 3 types:

  • Admins - who have access to setting up jobs, running reports, approving timesheets etc.
  • Foreman/Supervisors - who only have access to adding/editing timesheets
  • Regular Employees - who don't have their own username and password, but who need their time tracked for payroll

Adding New Users to LMN Time

NOTE: If this employee is an EXISTING LMN user and currently has access to LMN Budgeting & Estimating, please scroll down to Adding Existing Users to LMN Time.

The following guide will walk you through how to add a new employee/user directly within LMN Time. You would add staff with these steps if they do not need access to Budgeting and Estimating:

  1. Log in to LMN Time.
  2. Click Staff on the left hand menu.
  3. Click Staff List

  5. Add Employee window will pop-up. 
  6. Select the Type of user that you wish to assign (more information on user types can be found HERE):

    Regular Employee: field laborers that will have their time track by a supervisor/foreman

    Administrator: has full access to both the Administrator page and the LMN Time App

    Foreman: only has access to the LMN Time app
  7. If Foreman or Administrator is selected, an additional box will appear below

  8. Under Login Account, select New Login.
  9. Fill out the necessary fields (ie. email, username, password).
    PLEASE NOTE: an email address MUST be entered and it must be UNIQUE (you cannot share email addresses across users)
  10. Authorize the $9.99 fee by checking the checkbox.
  11. Click Next
  12. Enter First name, last name and employee ID if desired. 
    Their username must also be UNIQUE as this spans across our entire LMN Time database (ie. mowcrew1 might already be in use). 

    Skip Payroll Warnings?if you wish to have this employee disregard receiving a Payroll Warning (based on your Settings), checkmark this box.

    Payroll Warning Thresholdif left a "0 hours", it will use the default hours entered in your Settings. If you wish to assign a different amount of hours to receive a Payroll Warning, enter the value here.

    Subcontractorif this employee is a Subcontractor, ensure you checkmark this box. This person will NOT appear in your Quickbooks Sync Tool when syncing Timesheets into Quickbooks.

    Salariedif this employee is a Salaried employee, ensure you checkmark this box. Now LMN Time will use the "Salary" Payroll Codes you've set up to ensure they are paid as a Salaried employee when their timesheets sync into Quickbooks.
  13. Press Next
  14. Select Staff Groups if desired. 
  15. Click OK

    If your user is an Admin user, click HERE for instructions on adding Permissions.

The change is effective immediately and the employee can now log into the LMN Time app.


Adding Existing Users to LMN Time

The following guide will walk you through how to link an employee/user that has already been created in LMN Home (Account > Setup Users). It is not necessary to setup users in LMN Home first if they are only going to need access to LMN Time.

  1. Log in to LMN Time.
  2. Click Staff.
  3. Click Staff List

  5. Add Employee window will pop-up. 
  6. Select the Type of user that you wish to assign:

    Regular Employee
    : field laborers that will have their time track by a supervisor/foreman

    Supervisor/Foreman: only has access to the LMN Time app

    Administrator: has full access to both the Administrator page and the LMN Time App
  7. If Supervisor/Foreman or Administrator is selected, a box will appear below.

  8. Under Login Account, select Existing LMN Login.
  9. Under LMN User, select the employee in question.

  11. If your user is an Admin user, see below for instructions on adding Permissions.

LMN Admin Permission Levels

User Permissions give company admins the ability to limit what users can and cannot access in LMN Time. Setting up permissions can be done in a few easy steps for any Time Foreman or Admin.

NOTE: only the LMN Time Super Admin can alter LMN Time user permissions. If you are not the Super Admin but need a change please email support@golmn.com from the current Super Admin's email address and our support team can make the change for you.

To Setup Permissions:

  2. Select the permissions tab.

Permission Types

Permission Option 1 Option 2
Timesheet Approval No Access: Does not allow the user to approve timesheets. Full Access: Allows the user to approve timesheets.
Scheduling No Access: Does not allow the user to schedule.

Full Access: Allows the user to schedule. 

Add/Edit Jobs No Access: Does not allow the user to add or edit jobs.  Full Access: Allows the user to add and edit jobs. 
Add/Manage Staff No Access: Does not allow the user to add or manage staff. Full Access: Allows user to add and manage staff. 
Settings

No Access: Does not allow the user to change settings. 

Full Access: Allows the user to modify settings. 

Reports 

No Access: Does not allow the user to run reports. 

Full Access: Allows the user to run reports.
