LMN Time Glossary

Please see the following definitions for terms in LMN Time.

Settings  
Payroll Codes Directly related to Quickbooks, payroll codes will be matched to Payroll Items in Quickbooks for integration purposes.  Payroll Codes will communicate to Quickbooks during integration so Quickbooks knows what to pay each employee for their time on different jobs.
Job Types Similar to divisions in Estimating, you will set up a different Job Types for different types of work you offer.  Job Types will allow you to determine which types of work require certain notes and certain pay.
Hourly Rates If your job has tasks that are billable-by-the-hour, you will need Hourly Rates on that job.  Hourly Rates will help to indicate what price you need to charge your customer based on the rate your crew chooses and the amount of time they spend working on the billable task.
Services Services will help to track what has been completed on a job (ie. Inspection Completed, Mowing Completed, etc).  Your crews will be able to check Services off as completed when they clock out.
Activities Activities will be used for Billable Materials (ie. Mulch) and reminders (ie. Put out the Fertilization Sign).  Activities will also allow you to track quantities.
Default Tasks Default Tasks will be added to jobs based on Job Types.  If you import your estimates from LMN, you might opt to create Default Tasks for unbillable tasks that you want added to your jobs (such as Driving, Loading/Unloading, etc).

 

 

Invoices  
Invoice Runs Will display all invoices which are generated on a certain date.
Invoice Groups Customizable groups which can be used to sort your invoices.  Invoice groups can be created for type of employee, division of work, etc.  Invoice groups will be available to sort and display Invoices in a timely manner.

 

 

Staff  
Regular Employee Any user who will not require access to LMN Time for the purpose of clocking themselves in and out.  Regular Employees are typically laborers.  They will be entered into LMN so a Supervisor/Foreman can clock them in and out of timesheets so they can get paid.
Supervisor/Foreman Supervisor/Foreman will have the access to the LMN Time app for the purpose of clocking themselves and their crews in and out.  They will only be able to see the timesheets they create.
Administrator  Administrator users will be able to access all of LMN Time and can assist with setup of LMN Time Jobs, Schedules, etc.  They will also be able to edit, review and approve all timesheets for your company. 
Staff Groups Customizable groups which can be used to sort your staff.  Staff groups can be created for type of employee, division of work, etc.  Staff groups will be available to pull reports and will be available to your Supervisor/Foremen on their phones so they can search in a more efficient manner.

 

 

Jobs  
Jobs Estimates in LMN will come over to LMN Time to become Jobs.  Jobs will be clocked in and out of by your staff for time tracking purposes.
Tasks  When your crew clocks into a Job, the next thing they need to do is indicate what they are doing at that Job.  Tasks will be created for all actions that take place onsite (ie. Patio, Pergola, Mowing, Pruning, Plowing, etc).  If you imported your Job from an estimate, Tasks will be the Work Areas (Standard Estimates) or Service Areas (Service Estimates) from the estimates.
Billing-by-the-hour If you are going to charge your customer for every minute your crew is onsite working on a specific Task, that Task would be considered Billable-by-the-hour.  Marking a Task as billable-by-the-hour would mean that the task is going to be Invoiced outside of the Monthly Contract.
Hourly Rates If your job has tasks that are billable-by-the-hour, you will need Hourly Rates on that job.  Hourly Rates will help to indicate what price you need to charge your customer based on the rate your crew chooses and the amount of time they spend working on the billable task.
Services If you imported your estimate over from LMN, you might have a Service already associated to each task.  Services will help to track what has been completed on a job (ie. Inspection Completed, Mowing Completed, etc).  Your crews will be able to check Services off as completed when they clock out.
Activities Activities will be used for Billable Materials (ie. Mulch) and reminders (ie. Put out the Fertilization Sign).  Activities will also allow you to track quantities.
Invoice Type Known as Billing Type in estimates, Invoice Types indicate how your customer would be charged for a certain Service.
Job Groups Customizable groups which can be used to sort your jobs.  Job groups can be created for type of job (ie. Snow, Design Build, etc), billing schedule (ie. Monthly) or they can be created for routing purposes.  Job groups will be available to pull reports and your crews can access Job Groups on their phones to get their optimized routes.

 

 

Schedule  
Whiteboard Will provide a daily view of your scheduled work, by Schedule Crew.
Calendar View Will provide a weekly or monthly view of your scheduled work, color coded by either Schedule Crew or Work Calendar type.
Unscheduled Routes You will be able to create a list of jobs and optimize it in the most efficient driving order.  Unscheduled Routes can be applied to the schedule to one crew and one day at a time.
Work Calendars Work Calendars can be set up for each division of work you have.  You will be able to create certain rules for scheduling purposes (ie. only work Monday to Thursday, 10 hours a day, etc) within this work calendar, which any jobs you schedule to this type of work calendar would follow.
Service Types Service Types will be applied to recurring schedules and will indicate things that you want your crews to mark as complete.
Schedule Crews Schedule Crews will be setup for each crew you have in your company.  You will schedule work to these crews in your jobs.
Holidays You will need to set up any Holidays where your crews will not be working. Once you begin scheduling, these dates would provide warnings if they are accidentally scheduled.
